An opportunity currently exists for a Touring Co-ordinator to join our team. This role is ideal for someone with 1-2 years of office-based experience in planning, advancing, and day-to-day management of multi-date headline tours. The ideal candidate has already demonstrated their commitment to a career in presenting live music. Supporting the Head of Touring and working with the broader Chugg Music team, you’ll provide essential admin, production and marketing support for our artists' live performances, events, and touring. Experience with the day-to-day management of Tour Merchandise operations would be considered a bonus. Primary Duties and Responsibilities include:
Work with and support the Head of Touring to effectively plan live events and artist tours, and coordinate tour logistics incl the booking of travel of artists and crews and freight of tour merchandise and equipment for artists from across the Chugg Music roster.
Liaise with Agents, Venues and others to ensure that tour schedules and information is gathered and entered into our systems as part of tour workflows.
Draft tour budgets, based on a working general knowledge of how ticket and venue deals are structured, plus a good knowledge of the line items usually budgeted for across domestic and international tours.
Liaise with Chugg Music team, artists and third parties as needed on the timely creation, budgeting, and production of tour merchandising items/lines for all tours.
Ensure tour merchandising sellers are confirmed for all relevant tour dates, and coordinate with venues, tour managers and sellers on all shipping and receiving of merch, invoicing, and other relevant logistics related to tour merchandising across the Chugg Music roster.
Complete post-event/tour analysis, and assist in the administration and reconciliation of event and tour budgets.
Take a leading role in the management of Announcement, Pre-Sale, and On-Sale of tours, including setting up VIP Packages, and reporting on ticket sales during time-sensitive moments of the ticket sales campaign.
Liaise with Venues, Festival Organisers, Promoters and others to execute across tour and event marketing plans as needed, including online strategy, fan engagement and advertising/promotion.
Create and distribute tour marketing assets as needed to all relevant internal and external teams, including promoters and venues.
Track ticket counts for artist tours and events on an ongoing basis and work with the internal marketing team and external partners (promoters, venues, publicists, etc.) to support softer dates and drive ticket sales.
Complete tour and event-related grant applications and handle other administrative duties as they arise.
Assist the Head of Touring via some diary management, schedule meetings, and book travel etc. Be the contact point for internal and external teams regards the schedule of tours etc.
Ideal qualifications/competencies/skills:
1 to 2 years experience in the music business preferred, with a focus on touring & event production. Knowledge of ticketing, tour advancing and tour merchandise operations is preferred.
Must be adept in Microsoft Excel, Outlook, and Word. Experience with writing and using formulas is a bonus.
Ability to focus under pressure and show discretion in sensitive situations.
Excellent information management skills. The ability to absorb sometimes complex information and act upon quickly arising task lists in a dynamic environment.
Outstanding communication, interpersonal, and time management skills.
Basic financial budgeting experience and reporting a plus.
Basic graphic design experience (Canva, Adobe Illustrator, etc) a plus.
Support colleagues by sharing information, knowledge and skills.
